Before and after ESAS

From manual records to a reliable accounting system

Three common problems in managing invoices and accounts, and how ESAS resolves each of them.

The usual way
With ESAS
The usual way

01 · Before: Invoices written by hand, figures spread across ledgers and spreadsheets, and differences in halalas that cannot be traced.

With ESAS

A tax invoice worked out by your country's rules

15% VAT worked out line by line, amounts in riyals with two decimals, and the invoice, the entry and the XML sent to the Authority all read the same saved amount.

The usual way

02 · Before: E-invoicing is mandatory, yet rejected or pending invoices are not followed up systematically.

With ESAS

A direct link with ZATCA

Clearance for tax invoices and reporting for simplified ones, a log of every submission with the Authority's reply, automatic retries, and a credit note tied to the original invoice.

The usual way

03 · Before: There is no record of who changed a price or deleted a voucher, and every employee can see all the data.

With ESAS

Clear control over every action

A change log that keeps the old and new value and cannot be deleted, and permissions per page and per action within ready-made roles.

Anatomy of the invoice

This is the invoice your accountant expects

Everything the Zakat, Tax and Customs Authority asks for, in its place, without you having to remember the rules.

  1. 1
Your business's logo and tax details

Name, address and the 15-digit tax number, under your own logo.

  2. 2
    Standard, zero-rated and exempt together

Each rate on its own line, all of them in the tax summary and the return.

  3. 3
    Tax invoice or simplified

A tax invoice is cleared by the Authority before it is handed over; a simplified one is reported within 24 hours.

  4. 4
    Signed QR code

In TLV format as phase two requires, printed on every invoice.

  5. 5
A credit note linked to the original

It carries the original invoice's reference, is sent to the Authority, and never exceeds it.

E-invoicing

How your invoice reaches ZATCA

Four steps, the first of them carried out only once. If the connection is interrupted, the invoice remains in the log until it is cleared.

  1. 01
    Onboard your unit once

Generate the key and the certificate request, enter the OTP from the Fatoora portal, run the compliance checks, then receive the production certificate (CSID).

  2. 02
Issue the invoice and it reaches ZATCA

A tax invoice is cleared before it reaches the customer; a simplified one is reported within 24 hours.

  3. 03
    Every invoice followed through

If the connection fails the system retries automatically, and the status shows in the reconciliation report.

  4. 04
Correct with a linked credit note

Created from the original invoice and sent with its reference, never more than the invoice's value.

Our team sets up the link with you, beginning in the test environment.

Frequently asked questions

Questions we hear often

Didn't find your question? Contact us

What happens after day seven?

You choose your plan and how to pay, and your account carries on with its data as it is. If you don't choose, the account turns view-only with nothing charged: you can still view, print and export your data, but cannot add new records until you subscribe.

Do I need a card to start the trial?

No. You sign up with your business's name and your e-mail only, and we ask for no payment details before you choose your plan.

What is the difference between paying monthly and yearly?

Monthly is paid through PayPal only and renews itself every month until you cancel. Yearly is paid once, through PayPal, a Visa / Mastercard card or a bank transfer.

How does an invoice reach ZATCA, and what if it is rejected?

A standard tax invoice is cleared by ZATCA as you issue it; a simplified invoice is reported within 24 hours. Every submission is logged with ZATCA's reply, and if the connection drops the system retries automatically. Corrections are made with a credit note tied to the original invoice.

Who helps me with the link?

Our team sets up the link with you step by step, always starting in the test environment before production. You can reach us on WhatsApp.

Where is my data kept, and can I take it if I leave?

Each business has its own database, backed up every night and kept for 14 days. You can download your data yourself at any time: every table as CSV, or a full copy of your database.

Can I subscribe online to the full system?

Online subscription is for ESAS Invoicing only. Full ESAS, or adding stock, point of sale and payroll, is arranged with our team so we set it up around the way you work.
